How hospitals can rent medical equipment to patients and stay HIPAA compliant

Renting equipment directly to patients can be a reliable revenue stream — but only if intake, consent, and billing meet HIPAA and PHIPA from the first touch. Here is how to do it without paper.

How hospitals can rent medical equipment to patients and stay HIPAA compliant

More hospitals and care facilities are renting their own medical equipment directly to patients — wheelchairs, CPAP units, mobility aids, monitors, and more. Done well, it keeps patients supplied and turns idle inventory into recurring revenue. Done on paper, it creates compliance risk at every step: unsigned consent, card numbers on sticky notes, and no audit trail when something goes wrong.

The core challenge is that equipment rental touches protected health information (PHI) and payment data at the same time. To stay compliant, every part of the workflow has to be secure by design, not bolted on afterward.

A compliant equipment-rental workflow has four non-negotiables:

  • Secure intake: collect patient details over an encrypted, access-controlled channel — never email attachments or paper forms.
  • Signed consent: capture a versioned, e-signed agreement and snapshot the exact wording the patient agreed to.
  • Protected payments: save cards through a PCI-compliant processor so raw card numbers never touch your systems.
  • Audit logging: record every access, charge, and consent action so you can prove what happened, and when.

Beyond the technical controls, you also need the paperwork: a Business Associate Agreement (BAA) with any vendor that processes PHI on your behalf, defined retention rules, and role-based access so staff only see the patients and locations they are responsible for.

CareRenta was built to make this the default. Patients receive a secure intake link by email or SMS, sign consent and save a card on their own phone, and every action is encrypted and logged.
